Frequently asked questions

Does it really work without a connection?

Yes. The catalogue, your customers and their orders are stored on the tablet, so browsing, pricing and taking orders all work with no signal. Orders are saved the moment they are placed and sent at the next sync.

Can I try it before setting anything up?

Yes. Open the app and choose "Show me how it works" to load a sample wholesaler. Take an order, sign it and print it, then choose Leave Demo when you are done.

How does it connect to our ERP or accounts system?

Through files. Your system exports products, customers and prices as CSV, JSON or XML into a folder on the tablet or an FTP/SFTP server, and the app writes orders back the same way, or to your Google Drive. The Connecting your ERP guide covers the folder layout and file naming.

Which columns does the importer recognise?

Every one is listed in the Import field reference, with its format. Column names are matched without regard to case or surrounding spaces, and a blank cell never overwrites what is already on the tablet.

Can we change what the order files look like?

Yes. Order and customer exports are Liquid templates you can edit in Settings, with a preview. The Export templates guide lists every field available.

Can Google Drive supply our catalogue?

No. Drive is for sending orders only. The app asks Google for access to the files it creates and nothing else, so it cannot read a catalogue someone else put there. Receive from a folder on the tablet or an FTP/SFTP server instead.

A sync failed. Is anything lost?

No. Orders are only marked as sent once the file has actually been written, so an interrupted sync leaves them waiting for the next one. The sync log on the Sync screen names the file and the reason.

My licence key will not go in.

Your key looks like SELK-XXXXX-XXXXX-XXXXX-XXXXX. The easiest way in is from Settings › Licence: scan the QR code in your licence email, or open the selenic-orders.lic file attached to it. The tablet needs an internet connection the first time, to take its place under your licence; after that it works offline.

A tablet says all our tablets are in use.

Every tablet your licence covers already has the key. Your admin can free a place by removing a tablet you no longer use in Settings › Licence, on any tablet.

The licence screen says new orders are paused.

Nothing has been lost, and orders already taken can still be sent. Connect the tablet to the internet and open the app so it can check in. A tablet can work offline for up to 30 days at a time. If it still says so once it has checked in, email us.

The tablet's date is wrong, or somebody changed it.

Set the date and time to update automatically in Android Settings › System › Date & time. The licence is checked against the latest date the tablet has seen, so winding the clock back does not extend it, and a tablet that was once set far ahead can show new orders paused afterwards. Connect it to the internet and open the app: its check-in takes the correct date from our licence service and puts it right. A tablet licensed from a file rather than your account key should have the key entered once in Settings › Licence, which does the same.

A customer's balance looks higher after a sync.

The tablet adds the orders it has taken that your system cannot have counted yet, so a rep cannot pass a credit limit by syncing between orders. Orders not yet sent always count; a sent order counts until your system sends a customers file written after it arrived. If your system only counts orders once they are invoiced, set Business Rules › Sent orders count against credit to how many days invoicing usually takes.

Why does one customer get no delivery charge, or no promotion?

They are billed in a currency other than your catalogue's. Fixed-amount promotions, minimum order values and delivery charges are all written in your catalogue's currency, so the tablet does not apply them to that customer rather than charge one currency as if it were another. Percentage promotions with no minimum still apply, and your system adds carriage to their orders.

An import says full replace was held back.

With Full Replace Mode on, anything missing from a file is deleted from the tablet, so a file that would delete more than half of what is there is held back instead, and nothing is deleted. That is usually a filtered or "changes only" export rather than the whole list; send the full list and it imports normally. If your system really has removed that many, clear them in Settings › Admin and sync again.

I deleted an order and it says it was kept.

It was already on its way to your system (sent by a sync, or in a file being uploaded at that moment), so deleting it on the tablet would not have stopped it arriving. Cancel it in your system instead. An order is only ever deleted while it is still waiting to go.

Scanning a licence QR or a barcode does nothing.

The camera scanner needs the camera permission. If it was refused, turn it back on in Android Settings › Apps › Selenic Orders › Permissions. For a licence, a picture of the QR code already on the tablet can be used instead, from the same scanner screen; for a barcode, type it into the search box.

We are replacing a tablet.

Sync the old tablet first, so any orders on it reach your system; a new tablet does not bring them across. Then remove the old tablet in Settings › Licence (on any tablet, with the admin PIN) and enter the same key on the new one. A tablet that is lost and never comes back online gives up its place after 44 days, or email us to free it sooner.

How do we delete our data?

Your catalogue, customers and orders live on the tablet, never with us. Settings › Admin › Reset Data clears them, and uninstalling removes everything. We hold only your account details, your licence key and a name and identifier for each tablet using it; email us to have them removed when you stop using Selenic Orders. The full steps are at selenicsystems.com/software/selenic-orders/delete-your-data.

Are you insured?

Yes. Selenic Systems Ltd holds professional indemnity insurance. Email support@selenicsystems.com for a copy of the certificate.

How do I report a problem?

Email support@selenicsystems.com with what you did, what you expected, and the sync log if it involves a sync or import. A sample of the file concerned helps most of all.
